Important Information for the JCC J-Rays Swim Meet on Tuesday, July 11th

Dear Raleigh Rays Families,

Lifetime Raleigh Aquatics and Raleigh Rays are thrilled to host the JCC J-Rays at our upcoming swim meet on Tuesday, July 11th, 2023. To ensure a smooth and enjoyable event for everyone involved, we have gathered some pre-meet information and essential details that we would like to share with you.

Please note that the Raleigh Rays team needs parent volunteers for the meet. Your support and assistance are greatly appreciated in making this event a success. Thank you in advance for your willingness to contribute and help create a memorable experience for all participants.

Warm-ups:

Warm-ups will be conducted from 5:00 PM to 5:40 PM. Both teams will warm up during this time, with the J-Rays using the outdoor lanes and LifeTime Raleigh using the indoor lap lanes.

Pool:

Our outdoor pool features six lanes and official starting blocks. While we have minimal lights, we have a hard stop time at dusk. Please note that we are not licensed to operate at night. To complete as much of the meet outside as possible, we request that each swimmer participate in a maximum of three strokes each (two strokes for 6 & Unders). If we are forced to move inside, we will only score those assigned to lanes 2-5 since we have only five indoor lanes.

Volunteer Information:

We will hold a volunteer meeting at 5:30 PM to review the responsibilities and ensure a coordinated effort.

Timers:

We require two timers per lane.

Head Timer:

A head timer will be provided by LifeTime.

Order of Finish Judge (OOF):

Each team must provide an order of finish judge and runner. The additional OOF is very helpful because they will independently record their observations, compare them, and mark any discrepancies without changing their original notes.

Meet Administrators:

We propose that both meet administrators enter all main event times independently. This will help validate the correct times and ensure they were not mistyped in the system. We can divide the workload between the two meet admins for all other heats, allowing faster data entry. We kindly request that the meet administrators bring a laptop since we have Guest Wi-Fi available. Additionally, we will provide a third volunteer to help validate the order of finish with the OOF officials.

Stroke and Turn Judge (S&T):

Each team will provide one S&T judge and must bring their DQ slips.

Clerk of Court and Assistant Clerk of Court:

Each team will provide volunteers for these positions.

Kids Pusher:

Each team needs to provide their kids pushers. Furthermore, we kindly ask your 7-8 & 9-10 Kid Pushers to begin lining up swimmers for relays as soon as they are done warming up.

Announcer/Starter:

An announcer/starter will be provided by LifeTime.

Ribbons:

The Raleigh Rays staff will label ribbons, eliminating the need for a ribbon writer. Ribbons will be delivered within 48 hours after the meet is exported.


Heat Sheets for Volunteers:

We will provide heat sheets for all volunteers, including kids pushers, timers, S&T officials, and OOF judges. Parents can download or view them in Swimtopia.
